SHIFT: 7:30am - 4:00pm

LOCATION: OLOL Hospital

SUMMARY:

Operating within the LIS system(s) to determine the status and stages of cases; enters case comments when appropriate; sends, receives, and distributes faxes as necessary throughout the day; orders office supplies from PGL and requests maintenance, cleaning and repair office equipment as asked by pathologists; fulfills phone requests by physicians and patients; acquires paperwork for additional studies as requested by the Pathologists to adequately diagnosis cases in a timely manner; acts as liaison in scheduling pathologist for procedures at outside facilities and updates the Pathologists Calendar appropriately; assist in the quality assurance program under the direction of the Compliance Officer; distributes reports as necessary; maintains the filing system, this includes the slide files; provides support to the Pathologist and Tumor Conferences for OLOL main campus; Coordinates and supports Pathologist and staff with scheduling autopsies and gathering the necessary paperwork prior to start of the autopsies; routinely assists the Histo-technician during down times; adheres to the policies and procedures set forth by PGL, Federal and State Law and organizations which govern laboratories (e.g. HIPPA law, OSHA, CLIA, etc. )

DUTIES AND RESPONSIBILITIES:

  • Answers requests by Physicians and patients inquiring about the progress and status of Pathology reports, within the limits of PGL policies and confidentiality laws.
  • Prepares appropriate forms in response to requests for send-out of patient materials.
  • Initiates the paperwork for consultation requests
  • Properly distributes reports to clients, departments and Physicians as requested.
  • Assists the Medical Transcriptionist with tracking cases sent for consults and special stains, documenting the progress and informs the Pathologist of the case status.
  • Receives consultations from outside facilities and delivers the report to the Pathologist and Clinicians (if indicated by Pathologist).
  • Fulfills Pathologists' request for additional information needed to for accurate diagnosis, this includes but not limited to, retrieving patient history, operation notes, radiology films and contacting outside facilities for reports.
  • Understands and maintains the organization of the filing systems; can retrieve documents in a timely fashion and knows how to initiate data retrieval if the information is not located in the file.
  • Orders office supplies for the department and pathologists as needed and requested.
  • Updates weekly event calendar, including but not limited to scheduled FNAs, outside frozen sections, etc.
  • Notifies Pathologist scheduled to cover events according to PGL procedures
  • Distributes the Pathologist calendar and weekly calendar of events to individuals as directed
  • Operates within the LIS system which includes the following specific specimen task: case status, printing appropriate format of reports, printing reports to a printer or fax, entering case comments
  • Sends, receives, and distributes faxes as necessary.
  • Routinely checks the reading room and distributes slides addressed to specific pathologists
  • Assists the Pathologists and staff with the coordination of autopsies.
  • Notifies the proper Pathologists of a pending autopsy.
  • Checks the patients' medical records for proper signed consent forms.
  • Submits autopsy paperwork to PGL Accessioning department.
  • Handles questions from the hospital staff, physicians, families and funeral homes.
  • Maintains the Autopsy pending list and log sheet.
  • Gather and prepares Tumor Conference reports and slides for OLOL Tumor Conferences.
  • On a weekly base, selects random cases by facility, specimen type, and pathologist for tissue slide review. Cases are recorded on QA form, reports are printed and all paperwork is given to the histology tech at OLOL.
  • Answers histology phone and notifies pathologist and histology technician if needed for intra- operative consultation (i.e. frozen sections, renal biopsy, rapid FNA, etc.) is needed.
  • Performs special projects and other duties as assigned in a timely manner.

JOB QUALIFICATIONS:

Minimum Job Qualifications:

  • Minimum high school diploma or equivalent required.
  • Clerical and/or transcription experience is preferred.
  • Experience in a medical office or laboratory is ideal.
  • Beneficial post high school specialty training would include: Medical Transcription, Medical Terminology; Pathology Terminology; Business and Secretarial experience.
