Job Description

Allegria Village is the largest senior living community in the Midwest, nestled on a beautiful 35-acre campus that offers Independent Living, Assisted Living, and Skilled Nursing — all in one location. We are currently seeking an experienced, highly organized Executive Assistant to support our Independent Living Administrator and Resident Services Director.

This is a high-impact role designed for a professional who thrives in a fast-paced, resident-facing environment. The Executive Assistant serves as the first point of contact for residents seeking administrative support — helping resolve concerns efficiently and appropriately. All residents must go through the Executive Assistant before appointments are scheduled with leadership. This is not a social role — discretion, professionalism, and boundary-setting are critical.

Key Responsibilities:

  • Serve as a liaison between residents and leadership, acting as a gatekeeper for both the Independent Living Administrator and the Director of Resident Services.

  • Field and triage all incoming calls, emails, and in-person requests with professionalism and discretion.

  • Greet and manage walk-in visitors, ensuring proper access and maintaining an organized, efficient flow of communication.

  • Resolve resident issues directly when appropriate, escalating only when necessary.

  • Maintain calendars, coordinate meetings, and support administrative operations for the Independent Living leadership team.

  • Interact with staff, residents, and families in a courteous, businesslike manner.

What We're Looking For:

  • 3–5 years of Executive Assistant experience in a high-responsibility administrative role.

  • Strong interpersonal and communication skills, with a firm yet respectful presence.

  • Experience working in a senior living, healthcare, or hospitality environment is a plus.

  • Demonstrated ability to maintain confidentiality and manage sensitive information.

  • Strong organizational and time-management skills; able to juggle multiple priorities.

  • Proficient in Microsoft Office Suite and other office technology.
